Sales Rep

The Sales Rep table is used to define each sales rep within your organization. Each customer is assigned a sales rep and all orders, credit orders, and receivables adjustments (credit memos, debit memos, hand prepared invoices) are credited to a particular sales rep. The general ledger account used to post sales to the general ledger is assigned by sales category by sales rep within the Sales Options function.

Sales Rep Fields
Sales Rep Sales rep ID must be a unique two-character alphanumeric code.
User ID If the “Limit Sales Rep Customers” is set to Y (Y = Yes) in Sales Options and you want to limit the sales rep to their own customers in sales orders, enter the user ID associated with the sales rep. If not, select None.
Old Id Sales rep ID from your existing system, if the conversion mode is set to Y (Y = Yes) in the System options.
Name The name of the sales rep.
Contact The sales rep contact.
Address 1 The sales rep address line 1 (optional).
Address 2 The sales rep address line 2 (optional).
City The sales rep city (optional).
State The sales rep state (optional).
Zip The sales rep zip code (optional).
Phone The sales rep primary phone number (optional).
Fax The sales rep fax number (optional).
Sales Order GP Calc Determines whether to calculate gross profit while entering a sales order; O = Feature is turned off, A = Use actual cost, S = Use standard cost.
Commissions Are commissions paid on this sales rep? Y = Yes, N = No. This will enable the "Next Page" option on the command line (used to enter the commission rate to pay the sales rep by commission type) only if sales rep commissions is set to Y (Y = Yes) in Ledger Options.
Expense Account Commission expense account if the Commission field is set to Y (Y = Yes). This is the default from Ledger Options or Sales Category – the account can be overridden.
Commission Expense Cost Center Commission expense cost center if the Commission field is set to Y (Y = Yes). This is the default from Ledger Options or Sales Category – the account can be overridden.
Collect Sales Only Y (Y = Yes) = Commissions are paid only on collected sales (the payments that you received from your customer); N (N = No) = Commissions are paid in the period earned on all sales.
Exclude Accruals (for commissions)

Add back commission type price exceptions/accruals to the net sales amount when calculating the net sales on sales, gross margin and gross profit commission type methods : B = Broker only, S = Sales rep only, X = Broker and sales rep, N = Not used. Default is set in Ledger Options – Sales Rep Commission.

Note: All commission types must be defined in the system even if the rate is zero.

Note: Commission type ID, commission type description, the commission calculation method, and the "apply as" fields default from the information entered in the Commission Type table.
